Data Retention Summary

This page summarises what data Yolkii holds, how long we keep it, and when it is removed.

Customer personal information (name, email, phone, street address)

• Retention: 18 months from when the order was placed.
• What happens then: name, email, phone, and street address are automatically removed from our records. The rest of the order — number, dates, prices, artwork, edition number — remains for tax and business record purposes.
• Address: after removal, only the suburb, city, state, postcode, and country remain.
• On request: if Shopify sends us a customer deletion request, we act on it within 30 days.

Order records (after personal information is removed)

• Retention: 7 years from when the order was placed.
• What happens then: the order and its related production and shipping records are permanently deleted.
• Why 7 years: the Australian Taxation Office requires 5 years for business records; the additional 2 years is a buffer for late audits or disputes.

When you uninstall the Yolkii app

• Immediately: we stop exchanging data with your Shopify store. Existing records are preserved in case you reinstall.
• 48 hours later: if you have not reinstalled, Shopify sends us a formal deletion notice. All personal customer information for your shop is removed at that point, and the connection to your shop is deleted.

Records of the messages Shopify sends us

• Full record: kept for 90 days to support diagnostics and investigation.
• After 90 days: any personal information inside the record is automatically removed. Order metadata (line items, prices, refunds, fulfilment history) remains for troubleshooting.
• After 18 months: the record is deleted entirely.
• If an order is deleted earlier (via a deletion request or when an artist leaves Yolkii): the associated records are cleaned up at the same time.

Notifications and audit logs

• In-app notifications: deleted 60 days after creation or acknowledgement. They contain no customer personal information.
• Compliance audit log: a permanent record of when personal information was accessed or removed. Retained indefinitely, never modified. Contains no personal information or order content itself.

If you leave Yolkii

On written request from the artist, Yolkii will:

• Export the artist's catalogue and sales history so they retain a copy.
• Remove all personal customer information from the artist's orders immediately.
• Hide the artist's catalogue from the app while preserving edition history.
• Delete the Shopify shop connection.
• Disable the Yolkii account.
